Booking terms & conditions
1. Booking online
1.1. Please ensure that all relevant sections are completed before submitting your booking. By booking an event* with Herts for Learning (HfL), either online or via phone/email, you are agreeing to our terms and conditions as outlined here.
*event refers to, but not exclusive to, the following - programme courses, in school (INSET) training, Governor in house training, conferences, workshops, briefings, seminars.
2. Booking confirmation
2.1. You will receive an email confirmation of your booking with details of the course booked and a unique booking reference.This email will signify that the booking is confirmed upon the basis that you agree to pay all the charges set out in the booking contract. All training prices quoted are excluding VAT (unless otherwise stated).
2.2. If you have made a booking in error you have a 48 hour grace period to cancel your booking in writing without charge. Please email firstname.lastname@example.org
2.3. If there are any changes to, or cancellation of the booking contract by you, then the relevant cancellation charges will apply in accordance with clause 5 of these conditions. HfL reserves the right to refuse a booking and make amends to the terms of this booking confirmation as applicable.
3. Paying for your booking (invoice payments only)
3.1. Our payment terms are 30 days from invoice, we will invoice your school or setting monthly.
3.2. For residential events HfL has implemented a ‘billback’ arrangement to enable organisations attending a HfL conference to reclaim the VAT on their hotel accommodation (bed and breakfast). As such you will only be able to pay for these events via invoice. The procedure has been agreed with HMRC as per the Revenue and Customs Brief 21/10/2014. Following a residential event the amount will be detailed as a separate line on your invoice and the original VAT invoice is available upon request. Please contact email@example.com
4. Cancellations / amendments to a booking
4.1. All notification of cancellations for event bookings must be communicated to HfL via email firstname.lastname@example.org or phone 01438 845111 (Option 2). Email notification of cancellation is preferable.
4.2. Cancellation charges will apply as follows:

4.3. Cancellation charges will not apply if a colleague/governor attends in your place. Please notify the Events team in writing at the time of cancellation.
4.4. For courses run by the HCC Child Protection, Statutory Review & Performance Team - delegates who are unable to attend this course must provide a minimum of a week's notice (seven calendar days) of cancellation. Cancellations with at least a week's notice will not incur a charge. Late cancellations i.e. those received with less than a week's notice (seven calendar days) will incur a 100% charge of the course.
4.5. For courses run by the HCC Health and Safety Team - delegates who are unable to attend this course must provide a minimum of 4 weeks’ notice of cancellation. Cancellations outside of this period will not incur a charge. Late cancellations i.e. those received with less than 4 weeks’ notice will incur a 100% charge of the course.
4.6. Please be advised that, for in-house sessions that are part of the Governor Training subscription package, five clear working days’ notice is required to cancel in-house (two-hour sessions). Where less than five clear working days is given, the governing body forfeit the session.
5. Termination of the booking
5.1. If a booking is cancelled or postponed for any reason beyond its control, HfL will accept no liability whatsoever for any loss on your part, and you will not be charged for the course.
6.1. You will receive emails from us relating to your event booking.
6.2. If you have opted in to receive marketing information from us, we may send you emails about offers and services. You have the option to opt out of these emails by managing your subscription preferences. Please note that opting in to receive marketing information is separate from these terms and conditions.
6.3. We will not share personal data with third parties without prior consent unless we are required to by law, statutory requirements, Hertfordshire County Council, Ofsted, Department for Education or our event system operators.
7.1. We strive for the highest levels of security within our booking system and our payment partner Zipporah, but please note that information carried over the internet is not 100% secure. We do not accept any liability for loss, damages or costs associated with the use of this service, including viruses, data loss or consequential loss.
7.2. We strive to keep our data up to date but we accept no responsibility for any damage or consequential loss arising from inaccurate data or your reliance upon it.
8. Rights and jurisdiction
8.1. We reserve the right to vary these terms and conditions at any time. The onus is on you to check the current terms and conditions, at the time of booking, listed on our corporate website, www.hertsforlearning.co.uk.
9. Equality and diversity
9.1. HfL is committed to providing equality and diversity across all its services and among its workforce. If you require any special/additional requirements please state at the time that the booking is made at which time HfL will confirm what arrangements, if any, it is able to make, to try and accommodate the relevant matter, without being obliged to make any such arrangements. HfL will make no special arrangements unless it confirms in writing that it will do so.
